Request information (during verification)

If you need information from someone else about an invoice, you can send a request for information.

Sending a request

If you need information from someone else about an invoice, you can send a request for information. To request information:

  1. Click in the document view while verifying an invoice.
  2. Use the dialog that appears to write a comment or question.

    You can optionally choose to send the message to an email recipient. If you choose to send the message to an email recipient, the current document is attached to the email as a PDF file. If you do not specify an email address, the document is sent back to the document list view with an icon that indicates the Request for information status.

    After you click OK, the batch status and the document status change to Request for information, and you return to the document list view. If a notification based on the Request for information event is defined in the Notification service, an email alert is sent to the recipients specified.

    Email sent by this feature originates from Kofax AP Essentials; however, when you click reply in your email app, the email address of the person who sent the request for information is used. In other words, the reply-to field in the email header is set to the email address of the person who sends the request.

Replying to a request

Invoices that have a pending request for information are indicated with an icon in the document list view. When you view an invoice that has a request for information, a dialog appears which displays the message from the person who sent the request. After you adjust the invoice or solve the issue, click OK. The status of the invoice returns to Pending manual verification, and it is visible to the user who sent the request.

You can restrict access to invoices with the Request for information status by using the Access VERIFY - Reply privilege. If you want to restrict access in the manner, you must also disable the Access VERIFY privilege, which supersedes Access VERIFY - Reply.
