Pause an account

When an account is paused, users can continue working normally; however, no output is sent to the target system. This is helpful, for example, if you need to suspend a customer for lack of payment. Unlike deactivation, pausing an account does not cause user accounts to be disabled, no deactivation emails are sent to users, and incoming documents are still accepted.

Accounts can be paused and resumed manually and automatically according to the settings you specify in the Service plan view.

Manually pause and resume accounts

You can manually pause and resume customer accounts and customer groups.

Pause a customer account manually

To manually pause an account:

  1. Navigate to the customer view of the customer account that you want to pause.
  2. Click PAUSE. The account is immediately paused. Information about the paused status is displayed in dialog to Office users when they log into Kofax AP Essentials. Batches and documents of paused accounts have the status, Pending resume output and Document pending resume output. You can click RESUME to resume normal operations at any time.

Pause a customer group manually

When you pause a customer group, all customer accounts within the group are automatically paused. After you resume a group that was paused, you must resume each individual customer account manually. In other words, all customer accounts within the group are not automatically resumed when you resume a group.

To pause a customer group:

  1. Navigate to the group view of the customer group that you want to pause.
  2. Click PAUSE. All customer accounts within the group immediately paused. Information about the paused status is displayed in dialog to Office users when they log into Kofax AP Essentials. Batches and documents of paused accounts have the status, Pending resume output and Document pending resume output. You can click RESUME to allow resuming of all customer accounts within the group. However, you must resume each individual customer account manually.

Resume an account manually

You can click RESUME to resume normal operations of a paused account at any time.

To resume an account:

  1. Navigate to the customer view of the customer account that you want to resume.
  2. Click RESUME. The account is immediately resumed.

    If you resume a customer group, you must resume each customer account within the group manually.

Automatically pause and resume customer accounts

You can automatically pause customer accounts when the service plan volume and/or subscription period reaches its limit. For example, if the service plan volume is set to 100, the account pauses automatically after the 100th document is processed. Likewise, if the subscription period ends 2024-01-31, then the account pauses automatically 2024-01-31 at 23:59 UTC time.

To automatically pause a customer account:

  1. Navigate to the Account view of the customer account that you want to automatically pause.
  2. Click Edit in the Service plan group. The Service plan view appears.
  3. Select Enforce subscription period to automatically pause the account when the subscription period ends. Select Enforce volume limit to automatically pause the account when the document volume reaches its limit.

    You can select one or both options according to your needs.

  4. Save your settings.

    The system checks the service plan every hour. If the service plan volume and/or subscription period reaches its limit, the account pauses automatically.

    If an administrator renews a service plan, the account resumes automatically when the administrator saves the service plan settings.

    If a subscription period is set to a future date, the account resumes automatically on the specified date.
