Request information (during approval)

If you need information from someone else about an invoice, you can send a request for information.

Sending a request

If you need information from someone else about an invoice, you can send a request for information. This is beneficial because it keeps the questions and replies with the invoice for future reference. To request information from another user:

  1. Click while approving an invoice.
  2. Use the dialog that appears to write a comment or question and select the recipient.

You can choose to send the message to another user in ReadSoft Online or an email recipient. If you choose to send the message to an email recipient, the current document is attached to the email as a PDF file.

After you click OK, you automatically return to the document list view. If a notification based on the Request for information event is defined in the Notification service, an email alert is sent to the recipients specified.

Replying to a request

Invoices that have a pending request for information are indicated by the status in the document list view. When you view an invoice that has a request for information, the invoice opens with the comments displayed. After you resolve the issue, click Post information to return control of the document to the user who sent the request.

Only users with the Edit approval documents privilege can make changes to the invoice. If you do not have the Edit approval documents privilege, you can only add a message in the Comments tab.
