The Reporting views

ReadSoft Online provides several reports that contain information about document status, customer usage, billing and much more.

Note The reports described in this topic are only available in Control Center, which will be replaced by Admin Center in the near future. Admin Center has a new reporting system that is more intuitive and flexible. Read more about how the new reports correspond with the old reports at the end of this topic.

If the standard reports described in this topic do not meet your needs, you can use the API to create your own custom reports. The metering service provides functions (GetDocumentDetails and GetDocumentProcessStatus and GetSubscriptionInformation) that you can use to retrieve analytic data and process statistics.

Accrual

Accrual - Displays information about documents that are currently being processed in a workflow. Documents in this view have already verified, but have not been sent to the target system for final posting.

This report is useful if you need lots of information, which you want to process using an external spread-sheet program. For example, after you save the report in CSV format, you can use the information to determine the total amount of for all documents of a particular buyer with a specific currency.

Note The CSV file that you can download contains more information than the Accrual view. The CSV file includes, for example, all header fields and coding fields for each invoice.

Billing

Billing - This view is useful for subsidiaries or partners that need to bill their own partners and customers. For performance reasons, the billing reports are generated on the server side each day, and normally contain information for the entire month (except for the current month, which only contains information up to the current day). In order to appear in a billing report, a document must be completely processed. In other words, the document has been successfully sent to the target system or deleted. This means the document can be Successfully processed.

When you download a billing report, you can choose between two types of reports:

  • Overview report - This selection is only available after you click Generate. The Overview report contains overview information that is displayed in the Billing view and other fields, such as the customer organization number and customer VAT number.
    Note Currently, this report includes data from all organizations, even deleted organizations, since the inception of ReadSoft Online. This behavior will change in future releases.
  • Detailed report - This selection is only available after you specify a partner in the Partners box and click Generate. When you download a Detailed report, it contains information about each document. For each document listed in the report, details such as the invoice number, supplier name, track ID etc. are included.

Document processing

Document processing - The basis for this report is the number of documents received during within the specified time period. Unlike the Document volumes report, the received documents equal the sum of the other statuses. Because this report is based on when documents are received, it is possible that the other statuses (Successfully processed, Rejected etc.) occurred after the date boundary.

Example

In this example, a date is specified. One hundred documents were received during that time, and of those 100 documents, 50 were Successfully processed, 10 were rejected, 20 were deleted, and 20 are in progress (100 = 50+10+10+30).

Document volumes

This view represents the volume of documents flowing through the system during the specified time period. This is helpful if you want an overview of the amount of work being performed during a given time period. You can sort the data by customer, buyer organization, user and document status. This report is available for partners, customers and customer groups.

The numbers in this view do not correspond to each other. The invoices received, during the specified time period, are not necessarily the same invoices that were successfully processed. Likewise, some of the invoices received may still be in production, or they may have been deleted. Therefore, documents in the Received and Successfully processed columns are not correlated.

Another way to understand how this report works is to imagine that the columns are two separate questions: How many invoices were received this month? How many invoices were successfully processed this month?

Note The report only shows numbers of documents (not batches). If the date range includes batches that have not been split into documents, the batch is not included in the report totals.
Note The CSV report that you can download from this view contains more information than the view itself.

Documents in progress

Documents in progress - Displays all of the documents that are currently in progress in the organization that you specify.

Invoices per supplier

Invoices per supplier - Displays the number of documents received per supplier. This view is only available on the customer level.

Processing time

Processing time - Displays the average time documents spend in workflow processes. The average time is calculated from successfully-processed documents in the time span you specify.

Important You can download document-processing and billing reports in CSV format. The CSV files use semicolons to separate each field.

If you have problems displaying the reports correctly in Microsoft Excel, change the file extension of the report from CSV to TXT and open the file in Excel. Specify the semicolon as the delimiter if prompted to do so.
