Overview

The Sage 50 Accounts integration utilizes ReadSoft Online Connect to integrate with the target system. Input methods and other integration capabilities are standard.

The integration uses the Sage Data Object API (SDO). A license must be requested from Sage for the SDO usage. To activate the SDO, you must contact Sage and request a free SDO serial number and activation key.

Online Connect uses SDO to retrieve master data and to register transactions within Sage 50 Accounts. Online Connect uses a secure channel to communicate within ReadSoft Online using its API.

Basic flow – Registration only

  1. The images are received by ReadSoft Online.
  2. The data extraction starts and the documents are processed.
  3. The user verifies and corrects the invoice if necessary.
  4. When the user confirms the invoice, it is ready for export.
  5. Online Connect downloads the invoice image and data, and registers the invoice as a transaction in Sage 50 Accounts. The image is stored locally in the supplier-attachments folder.
  6. If Sage 50 Accounts finds something wrong in the processed data, the invoice is rejected, and the user can check the problem using ReadSoft Online.

Extended flow – Workflow and posting

The extended flow means that there is a workflow setup for the customer. In this workflow, the user can change the default coding of the amount and approve the invoice for booking. The user can also edit additional coding fields (tax code, cost code, department, project and dispute reason).

After the workflow is finished, ReadSoft Online tries to post the invoice in Sage 50 Accounts.

In the extended flow, exceptions are handled in different steps in the workflow.

Options

  • Invoice images can be stored in ReadSoft Online Storage instead of a local storage. If this is enabled, the local image file in the supplier-attachment folder is replaced with a shortcut that points to the image stored in ReadSoft Online Storage. This minimizes the local server storage size (less than 1 KB for a shortcut) and offers secure storage because the images are stored in the cloud within its backup process.
  • When using ReadSoft Online to perform coding, this step can be done during verification by selecting Allow account coding during verification in the Verification service in ReadSoft Online.
  • When using ReadSoft Online to perform account coding, the coding-suggestion feature can be enabled by selecting Use automatic coding suggestion on the customer level in the Coding configuration settings (Workflow service).
