The Users view

Use this view settings to specify user settings in Control Center.

To access this view: Select a Users node in the administration tree-view and select a user.

Use these settings when you edit or add a user. The settings that appear can vary, depending on the user role and whether you view the list from the partner level or customer level. Use these settings when managing users:

Add new user Opens a dialog for creating a new user.
Edit Makes some of the settings of the selected user editable. Click Save to save any changes you make.
Reset password Displays a dialog that asks if you are sure if you want to reset the user password. If you click OK, a new, random password is created for the selected user.  The new password is sent to the user via email.
Note You cannot choose or see the password that is sent to user.
Delete Displays a dialog that asks if you are sure you want to delete the user. If you click OK, the user is deleted from the system.
Specifies that the user is a customer user. This symbol is only visible on the customer level.
Specifies that the user is a partner user. This symbol is only visible on the customer level. Partner users are displayed on the customer level, so you can easily see which partner users have access to the current customer. If you want to view or edit the partner-user settings, however, you must do it on the partner level.
Profile
User name The name you use to log in with.
Full name The real name (first name, last name) of the user.
Email The email address of the user.
Role The role of the user.
Phone The phone number of the user.
Substitute

Specifies an alternate user for workflow services. You can use this setting, for example, if the user is absent, and you want to choose another user to take his place temporarily. When this setting is empty, nothing happens. When you specify substitute, the substitute user replaces the current user in all workflows until you change this setting to empty again.

Note If you have workflows that use groups, instead of individual users, to assign invoices, make sure the substitute user belongs to the same groups as the user being substituted.

This setting is only displayed when workflow services are enabled.

Notes Use this setting to make administrative notes about the user. For example, if the user is your main contact at the customer site, you can make a note of this here for your reference.
Use identity provider Determines whether the user uses single sign-on. If this setting is selected, the user cannot log in to ReadSoft Online via the ReadSoft Online login page; the user must be authenticated using single sign-on.

If Use identity provider is selected when you create a new user, the user does not receive an email containing log-in information from ReadSoft Online.

Roles & privileges
Roles Displays roles that you can associate with the selected user.
  • Approval admin - Gives the user access to these additional, optional privileges: Access MANAGE, Edit approval documents, and Reroute approval documents.
Privileges Displays privileges that you can associate with the selected user.
Buyers
Access all buyers (current and future) Grants the user access to all buyers, including new buyers that you create in the future. In other words, the user will be able to process invoices for all of the buyers, and all of the buyers will appear in the Buyers list in the upload view. If you add new buyers in the future, the user will also be able to process their invoices as well.
Approval
Manager Specifies the person who can approve amounts that exceed the Monetary limit of the user. Learn about linear approval.

If you specify a manager, you must specify a Monetary limit.

Monetary limit Specifies the maximum amount (invoice total) that the user is allowed to approve.
  • Amount - the maximum amount the user is allowed to approve.
  • Currency - the currency of the amount. If you import currency master data that includes exchange rates, and you process invoices in currencies besides the currency you specify here, the invoice total amount is converted to determine if the monetary limit has been exceeded. If you do not import currency master data that includes exchange rates, the currency on the invoice is treated as the currency you specify here, for the purposes of determining if the monetary limit has been exceeded.

    You must specify a currency if you specify a Manager and you import currency master data.

Customers
Access all customers (current and future) Grants the user access to all customers, including new customers that you create in the future. In other words, the user will be able to process invoices for all of the customers, and all of the customers will appear in the Customers list in the upload view. If you add new customers in the future, the user will also be able to process their invoices as well.

If this setting is no selected, the user only has access to the customers that are selected in the list.

Two-factor authentication
Remove two-factor configuration Deletes the two-factor authentication configuration for the selected user, so the user must set up a new configuration in order to log in. Use this button to prevent unauthorized access to ReadSoft Online if a user loses his mobile device, or if the security of the device was compromised in some other way.
Let this user to log in without using two-factor authentication By selecting this setting, you override the Enforce two-factor authentication setting, so the user does not need to use two-factor authentication to log in.
Audit trail
Refreshes the list view.
  Resets the search filters and the advanced search filters.
Show successful authentication events Displays successful user-login events.
Event time The date and time that the event occurred.
Changed by Indicates the user that triggered the event.
Message Provides user-specific event information such as:
  • when the user has accessed the system and what functionality was accessed..
  • changes to privileges and other user-account modifications.
  • what functionality/data a person has accessed.
