Email attachment validation

When you use email forwarding, email attachments are validated in this order:

  1. Email attachment validation - First a simple check is made to ensure the attachment is a supported file format. Valid attachments move to the next step. Invalid and attachments are not handled.
  2. Batch input validation - Valid batches are processed. Invalid batches are will be stuck with Input validation failure status.

Email attachment validation

Email attachment validation can have one of these outcomes:

  • Valid attachment - A file type that Kofax AP Essentials can process—such as a PDF, TIF or XML—which is readable.
  • Invalid attachment - A file type that Kofax AP Essentials should be able to process, but cannot because it is corrupt.
  • Unsupported attachment - A file type that Kofax AP Essentials cannot process, such as a DOC or XLS file, or an image that is too small (height less than 1,000 pixels).

Example

You use the Email forwarding view to specify the conditions that trigger email forwarding. Email can be forwarded when the input mail is accepted or rejected. For the purposes of this table below, assume that Accepted and Discarded are selected in the Email forwarding dialog.

Input: One email with one or more attachments Result
Valid attachment The attachment is processed and a single accepted email is sent.
Unsupported attachment The attachment is discarded and single discarded email is sent.
Invalid attachment The attachment is discarded and single discarded email is sent.
Valid attachment + Unsupported attachment One attachment is processed and a single accepted email is sent. The unsupported attachment is silently ignored
Valid attachment + Invalid attachment Both attachments are discarded and single discarded email is sent.
Invalid attachment + Unsupported attachment Both attachments are discarded and single discarded email is sent.
Unsupported XML format The invoice appears in the All documents view in Batches mode with the status, Input failed.

Batch input validation

Batches are displayed in the All documents view in Batches mode with the status, Input failed, if:

  • It is a well-formed XML file, but the XML format is not supported.
  • The batch contains only blank pages.
  • The batch contains two leading blank pages and an odd number of total pages.
  • Multiple document types or buyers are defined, but neither the Email input service settings nor the email subject specify which to use.
